What we collect

We may collect the details you add to a song, such as names, memories, messages, music choices and pronunciation tips. We may also collect your contact, order and support details, plus basic information about how the site is working.

When you use Ask Arthur, we may keep a redacted copy of the conversation for up to 90 days so we can understand common questions and improve the guidance. Email addresses, phone-like numbers and links are removed from this chat record. We do not intentionally store a raw IP address with it. Contact details you deliberately send through the separate message form are handled as a support request.

Dear Arthur keeps anonymous daily totals for important steps such as creating, previewing and purchasing a song. These totals do not include names, contact details, song details or advertising profiles. Short technical error details may be kept for up to 90 days so faults can be fixed.

If you open a unique Dear Arthur outreach link, we may record that the link was opened and which broad steps were used, such as playing an example or starting the builder. The link contains an internal reference rather than your name or email. We do not use fingerprinting or keep a raw IP address in this engagement record.

Never put card details in a song or support message. Our payment provider handles card details at checkout.

Why we use it

We use this information to make and deliver songs, run private listening pages, process orders, answer questions, prevent misuse, improve the service and follow the law. We do not sell your personal information.

Website analytics

We use Google Analytics to understand how people find and use Dear Arthur. It may collect information such as pages visited, approximate location, device and browser details, and interactions with the site. We do not intentionally send Google names, contact details, song details or payment information, and we do not use Google Analytics advertising features. Where local rules require permission, Google Analytics stays off unless you allow optional measurement.

Details about someone else

A personalised song often includes another person’s details. Only add information that is suitable and that you have a legal reason to use. Avoid health, money, identity, exact location or other sensitive details unless they are truly needed and you are allowed to share them.

AI and the companies that help us

We may send song instructions and related details to trusted companies that help us make audio or text, host the site, take payments, stop abuse, deliver messages or provide support. These companies must handle the information under their own privacy, security and contract rules.

Our music provider may keep generation instructions and audio under its own retention policy. Only add details that genuinely need to appear in the song. Dear Arthur does not use song details to build advertising profiles.

Information may be handled overseas

Dear Arthur works online, so some trusted providers may handle information in another country. Where the law requires it, we use legal protections for sending information overseas.

How long we keep it

New unpaid song previews are normally kept for 7 days. After purchase, unused versions are normally kept for 30 days and the purchased song is kept online for 90 days. We email the buyer when the purchased song has about 30 days and 7 days left, so they can download it before the recording and private page are permanently deleted.

Redacted Ask Arthur conversations are normally removed after 90 days. Detailed outreach-link engagement is normally removed after 180 days. Longer-term reporting uses combined totals rather than a person or prospect-level activity history. Safety decision records do not contain the full song request and are normally kept for up to 90 days. Recipient safety reports may be kept for up to 12 months. Support requests are normally removed after 12 months. Email delivery and customer contact records may be kept for up to 2 years, while limited transaction records may be kept for up to 5 years for accounting, refunds and fraud prevention.

Recordings created before this policy took effect are not automatically deleted under these time limits until we have separately notified the buyer. We may keep payment, tax, fraud-prevention and support records for longer where the law or an active dispute requires it, without keeping the song audio itself.

Keeping information safe

We use reasonable security measures, but no online service can promise perfect security. Keep private links private. Contact us quickly if you think a link or account detail has been exposed.

Children

Dear Arthur is not designed for children to submit personal information independently. A parent or responsible adult should create and share children’s songs and invitations parent-to-parent.

Your choices and rights

Depending on where you live, you may be able to ask us to show you, correct, delete or give you a copy of your personal information. You may also be able to ask us to stop some uses of it or withdraw permission.

We may still need to keep some information for legal, payment or fraud-prevention records.
